But not much thought is put into how to track how they \nare being used. Clients are prepaying for a product or service, and \nexpect you to deliver even if they lose the voucher in the meantime. You\n want to track how the vouchers are being used, what are the common \nspend amounts, how long it takes for them to be used, when the best time\n to promote them, etc. To do all of this you need some form of tracking \nfor them, and we will be looking at the different ways you can do it, \nand what I feel is the most effective one.<\/p>\n\n\n\n<p><\/p>\n\n\n\n<h3 class=\"wp-block-heading\">No tracking at all<br><br><\/h3>\n\n\n\n<p>It\n may very well be that you don\u2019t make much use of gift vouchers in your \nbusiness at all. Firstly, if people are asking for them, then you should\n be carrying them and I give you seven good reasons why [[link to lead \narticle here]]. Secondly what happens if a customer for whatever reason \nloses the voucher but still wants to spend it? Wouldn\u2019t it make you look\n like the best business in the world if you were able to find the \ndetails of the old voucher, cancel it and issue a new one, which you \ncan\u2019t do if you aren\u2019t tracking the voucher.<\/p>\n\n\n\n<p><\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Notebooks<br><br><\/h3>\n\n\n\n<p>If\n you want a low tech method of keeping track of things, keeping \neverything in a notebook will work. Draw a few lines down the page, and \ncopy the information that you record the information there. You would \nalso have to have the notebook where you keep the vouchers, and you may \nnot have time copy the information over while the customer is waiting. \nWhat happens if you lose the notebook too?<\/p>\n\n\n\n<p><\/p>\n\n\n\n<h3 class=\"wp-block-heading\">\u2018Check stub\u2019<br><br><\/h3>\n\n\n\n<p>This\n refers to the traditional form of vouchers where they are put into a \ncheckbook with a tear off section you give to the client and stub which \nis retained in the book and is where the details are recorded. Now you \ndon\u2019t just have to have check style vouchers to do that, with some \nplanning you can make greeting card format ones that work the same way. \nThe only real downside is that again what happens if you lost the book \nwith the vouchers for any reason.<\/p>\n\n\n\n<p><\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Spreadsheets<br><br><\/h3>\n\n\n\n<p>Moving\n up from the notebook is spreadsheets. It\u2019s main advantage is that you \ncan make copies of the file and even setup some automation of the \nprocess using simple macro programming. You can also search the sheet \nfor a voucher from customer details, and use it get analysis on what \nproducts\/services the vouchers are being used for. What happens though \nif you can\u2019t access the computer when the customer is there, making it \nnot quite as practical. &nbsp;Having an onlive version like Google Sheets is a\n great way to manage the lost file risk.<\/p>\n\n\n\n<p><\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Till systems<br><br><\/h3>\n\n\n\n<p>Many\n modern till systems support printing of gift vouchers. How advanced \nthey are depends on what the manufacturer decides to install as part of \nthe package. They can look quite cheap as they are printed out using the\n receipt printer. You might also find that backtracking information in \nthe till for printing out a replacement voucher or searching for one by \ncustomer details quite limited.<\/p>\n\n\n\n<p><\/p>\n\n\n\n<h3 class=\"wp-block-heading\">The solution: Check Stub With Spreadsheet<br><br><\/h3>\n\n\n\n<p>This\n represents the best solution to deal with every issue that can come up \nwith gift voucher tracking. Using the check stub means that you can get \nall the details right there and then. It also becomes the backup copy of\n the details should something go wrong with your computer system. Then \non a regular basis, you can then copy the information into the \nspreadsheet which is far easier to search for information and give you \nfeedback on what the vouchers are being used for.<\/p>\n\n\n\n<p>In\n the end, the right solution is the one that makes it easier for you to \nmanage your gift vouchers.
